Reporting to the Director, Advancement Services and receiving operational direction from the Director of Philanthropy, the Advancement Officer – Prospect Research and Management works to create avenues of revenue through the identification and qualification of mid- to high-level prospects from various groups and is responsible for developing and leading a system of central moves management designed to identify and manage prospect/supporter involvement, participation and retention in alumni engagement/fundraising activities. The position develops, accesses, and reports on confidential information (biographic and financial) and plays a key role in the lead up and execution of all major giving activity, including capital and university campaigns priorities.
Duties as the Advancement Officer – Prospect Research and Management include, but are not limited to: Identifying and qualifying, via research, gift levels of $10,000 – $5 Million plus. Identifying, analyzing, and recommending sources and avenues of major financial support. Populating/managing a Gift Range Table to ensure prospects are aligned with University Priorities for fundraising. Implementing disciplined systems and processes to monitor, strategize, and cultivate the top current and prospective donors with potential for making a major gift along with coordinating the prospect clearance process. Participating and contributing to the formation of the University’s fundraising plans by managing the processes and procedures of prospect management, information systems needs and development. Overseeing the University’s Prospect Clearance policy and is the main “clearing office” for Faculties and Departments. Attending University events to aid Development Officers in identifying, cultivating and stewarding relationships. Regularly monitoring professional research and fundraising literature (CASE, APRA, AFP, etc.) for new methods and strategies; evaluating them; and implementing those that will increase the University’s effectiveness in fundraising. Maintaining agreements/licenses for print, electronic resources and databases and liaising with vendors/publishers. Leading, developing and executing a centralized moves management system that coordinates the activities of Development Officers and Alumni Officers. Conducting detailed biographical, corporate, foundation and financial research for identified prospects using advanced online databases, reference materials, and other third party sources to determine net worth, corporate and individual philanthropic capacity and interest in supporting the University’s funding priorities and initiatives. Assisting in the identification of key relationships and paths of influence amongst key donors, alumni, and friends and creating detailed relationship mapping to assist volunteers and staff in identifying prospects. Ensuring detailed, clear, precise and up-to-date profile reports and research briefings on prospects are prepared, as well as preparing call briefing notes and draft basic solicitation proposals. Analyzing and interpreting data to make recommendations regarding priority of prospects, giving capacity, “right ask” amount, timing of approach, etc. Holding regular meetings on behalf of the Director of Development with Development Officers and Alumni Officers across the University to lead the central moves management. Data mining the university database systems for information pertaining to the identification of new prospects. Overseeing the collection, organization, input and analysis of information for prospects and potential prospects. Assisting in maintaining the data integrity of the Banner database by updating and maintaining information on prospects and donors in the Banner Prospect Management Module. Upholding and promoting the ethical standards established by the Personal Information Protection and Electronic Documents Act (PIPEDA) as well as Association of Professional Researchers for Advancement (APRA), Association of Fundraising Professionals (AFP) and Association of Healthcare Philanthropy (AHP).
To be the successful Advancement Officer – Prospect Research and Management you will possess an undergraduate degree with research and analytical/statistical components and a minimum three (3) years of related experience. A MLIS degree and previous experience in a not-for-profit environment will be considered assets. You demonstrate an understanding of fundraising practices; possess advanced research, statistical, computer and analytical skills; and have a proficiency in Microsoft Office Suite and relational databases. Experience with Banner is an asset. You further demonstrate excellent interpersonal skills, the ability to work independently, as well as collaboratively with diverse groups, and demonstrate a professional manner with a customer service orientation. Exceptional oral and written communication skills with strong attention to details; self-directed with a high level of initiative and resourcefulness; and the ability to organize, manage, prioritize a diverse range of projects with high efficiency in a fast paced environment will round out your qualifications.
